The Minute Book

For the secretary

How to take HOA minutes

Do not draft the official record while people are talking. Write fragments in the room, and write the minutes the next day. That split, between notes and the record, is the skill.

You got named secretary. The board expects a PDF. This is how you get there without a three-page novel or a one-line shrug. Sample method only — not legal advice. Your documents and state law control.

Before the meeting

Copy the HOA board meeting agenda template. Put the association’s legal name on it. Send it with whatever notice your bylaws require. Print a notes sheet with the same numbered items. You will write on that sheet only.

In the room

Capture: time in, names present and absent, quorum yes or no. For each item: mover, seconder, the motion in a phrase you can reconstruct, the vote. Topic plus who spoke in open forum — not a transcript. Totals from the treasurer, not the spreadsheet.

Do not write insults. Do not write legal conclusions. Do not type the minutes live. If there is no motion, write “info only.”

The next day

Open the HOA minutes template next to your notes. Promote each item. One sentence per motion. Votes in the table. Actions onto the register with an owner and a date. PDF it. Send a draft to the board. Approve at the next meeting. That approved PDF is the record owners may request.

If a vote is not in the notes, it is not in the minutes. Do not reconstruct it from memory at 11 p.m.

If you want AI to type

You do not have to already “know AI.” The kit includes a how-to: paste the prompt, paste your messy notes, get a draft in this shape. Free ChatGPT, Claude, or Grok is enough. If the notes are silent, it is supposed to print [NOT IN NOTES] instead of guessing. You still read every line. You own whatever is published. You can skip AI and type it yourself. Same files either way.

Running the meeting vs taking minutes

The president chairs. You write. How to run a 60-minute board meeting is the one-pager for the chair. This page is yours.
