The Minute Book

Word file · same numbers as the agenda

HOA meeting minutes template (Word)

The job is not “find a blank HOA minutes template.” The job is sitting down the next morning with nicknames and arrows and producing a page an owner — or a lawyer — can read without calling you. This skeleton is the shape of that page: one sentence per motion, who moved it, how each director voted, what happens next.

Free templates online are usually nine headings. You still invent the outline after adjournment. An HOA meeting minutes template that is actually usable is a Word file whose numbered items match the agenda you sent and the notes you scribbled in the room. You promote; you do not re-outline. Google Docs opens the same .docx. There is no portal.

Sample forms only. Not legal advice. Not software. Not a management company. Your documents and state law control.

Most boards treat this as an association record-keeping expense. Submit the receipt to the treasurer.

What to include

Date, time, place. Who was present and absent. Whether a quorum existed. Each motion in one sentence (start with a verb). Who moved and seconded. The result of the vote — and, where your documents or state law require it, how each director voted. Actions with an owner and a due date. Time of adjournment.

What to leave out

Leave out the argument, the tone, who seemed to win, insults, medical or personnel details, legal advice quoted at length, and anything said in executive session. The public minutes say that you went in and came out, plus a topic category if your documents allow that. The details stay on a sealed cover.

The novel vs the shrug

Novel (do not publish this)

Bob said the grass looks terrible and Chris agreed that Tom never shows up, then Jordan got heated about the invoice from last August and Riley thought maybe we should wait until spring…

That kind of page can run to three pages and still contain no motion, which means it is useless as a record.

One sentence (this is the minute)

Motion. Landscape contract.

Authorize the president to terminate GreenLine per its notice terms and sign Maple Ridge Lawn at $1,620/month beginning May 1, 2026.

Moved by Jordan Hale. Seconded by Sam Ortiz.

Pat Y · Jordan Y · Sam Y · Riley Y · Carried.

Action: President signs by March 17.

The other failure is the shrug, which says that old business was discussed, that new business was discussed, and that the meeting adjourned. Nobody can tell what was decided. The template below is the useful version of the same meeting, and it is plain on purpose.

Regular-board skeleton (copy the brackets)

This skeleton is a regular board meeting, not the annual membership meeting — use the HOA annual meeting minutes template for that night.

Word vs Google Docs

The kit is Word. Google Docs opens .docx. Pages can open it; Word or Docs is the intended path. Copy this month’s files. Leave the originals in the folder so next January you are not reconstructing a format from a corrupted working copy.

How the minutes file is supposed to work

Send a timed HOA board meeting agenda template before the meeting. Write fragments on a notes sheet with the same numbers. The next day, promote those notes into this minutes file. Put leftover work on the HOA action items register so old business cannot hide. A sample HOA meeting minutes page shows the Cedar Grove dummy board filled in.

If you want a walkthrough of the eight elements, see how to write HOA minutes. Condo boards: same kit, different labels — condo board meeting minutes template. Optional AI: the kit’s notes-to-minutes how-to.

The files are Word, the zip is a one-time download, and it is not a subscription. Most boards treat this as an association record-keeping expense, so submit the receipt to the treasurer. See pricing, the full kit, and the free page on how to run a 60-minute board meeting.

Common questions

What goes in HOA meeting minutes?

Date, time, place. Who was present and absent. Whether a quorum existed. Each motion in one sentence. Who moved and seconded. The result of the vote — and, where your documents or state law require it, how each director voted. Actions with an owner and a due date. Time of adjournment.

What should I leave out of HOA minutes?

Arguments. Tone. Who “won.” Insults. Medical or personnel details. Legal advice quoted at length. Anything said in executive session. Public minutes say you went in and came out, plus a topic category if your documents allow that. Details stay on a sealed cover.

Does this HOA minutes template work in Google Docs?

Yes. The files are Word. Google Docs opens them. Reuse the same copies every month. No account with us, no portal.

Can the association reimburse the $49?

Yes. It is a one-time $49 supplies purchase. Most boards treat this as an association record-keeping expense. Submit the Paddle receipt to the treasurer.

Is this legal advice?

No. These are sample forms, not counsel. They are not valid, complete, or sufficient in every state or for every association. Check your CC&Rs, bylaws, and state law. Have counsel review anything that affects owner rights, fines, elections, or assessments.

Is a free HOA minutes template enough?

A page of headings still leaves you inventing the outline after adjournment. The useful part is locking the minutes to the same numbers as the agenda and the notes, then putting leftover work on an action register.
